On-premise AI for clinics
On-Premise AI for Hospitals and Clinics
We propose and build AI that runs on servers inside your hospital, so voice, documents and medical data are processed on site by default. It helps reduce repetitive work such as phone handling, insurance paperwork and consultation records.
AI modules for daily clinic work
These modules are proposals modeled on a publicly shared dental clinic example, which DRSOFT did not build. Pick the tasks that take the most staff time; each module can be introduced separately.
-
Call handling and call summaries
Connects to the hospital phone system (PBX) and transcribes calls live. When a call ends, its purpose, urgency and follow-up tasks are sorted out on a staff screen.
-
Insurance and claims document reading
Reads payment statements, faxes and scans with OCR and compares them line by line with internal records. Matches are confirmed; differences go to staff to check.
-
Internal search
Search call records, messages, documents and manuals in one place with natural-language questions. Answers carry source links, and viewing rights follow staff permissions.
-
Consultation transcripts and e-signature
Transcribes consultation conversations and collects e-signatures on consent forms. Records are applied to the chart only after the responsible staff member confirms.
-
Management report automation
Generates daily, weekly and monthly business reports as PDF. Analysis software calculates the figures and AI only interprets them; estimates are marked separately.
-
Paging, announcements and internal messenger
Voice (TTS) calls from treatment rooms and scheduled announcements, plus an in-hospital messenger so staff talk about patients without using outside messaging apps.
Servers, network and operations
- AI inference servers, virtualization servers and redundant setups designed for the size of the clinic
- Orderly shutdown linked to UPS units and automatic recovery after a power outage
- Backups, recovery checks and monitoring alerts
- Start from a small configuration and scale up as needed
- VLAN, Wi-Fi and CCTV networks set up and managed together
- NFC clock-in records with automatic calculation of working hours and hourly pay
- Alerts when equipment or access looks abnormal
How patient data is protected
- On-premise by default: voice, documents and medical data are processed on the hospital server, not sent to external AI services
- If an external service suits a task better, we tell you first which data would leave the hospital, and you decide
- Read-only links: AI does not write to chart software; it organizes and suggests, and staff confirm before anything is recorded
- Access control by staff role, with logs of viewing and edits
- Network and account separation with VLANs, restricted admin access and multi-step authentication
- Retention and disposal rules for recordings and transcripts follow hospital policy
- Which laws apply differs by institution; this page is not legal advice, and we review them with you before building
Start with one task, then expand
- Step A, one task: check the most time-consuming task, such as insurance document matching or call summaries, on real clinic data
- Step B, in-hospital build: phone, documents, search and paging in one portal, with AI server, backup, UPS, network and staff accounts
- Step C, hospital-wide: add consultation transcripts, e-signature, reports and messenger, with redundancy, monitoring and read-only chart links
- Equipment and scope depend on modules, concurrent users and connected systems, and are set out in a quotation after an assessment
How a project runs
- Assessment: we review the specialty, staff workflow, existing equipment and chart (EMR) environment
- Priority tasks: we pick one or two time-consuming tasks and agree on the metrics to check
- Build and validate: we build on real clinic data and measure accuracy on a review screen where staff mark results right or wrong
- Expand and hand over: validated tasks are extended step by step, with staff training and operating procedures handed over
- Operation and maintenance: monitoring, model and software updates, and fault response
Frequently asked questions
Does patient data leave the hospital?
By default, voice, documents and medical data are processed on the hospital server and are not sent to external AI services. If an external service suits a task better, we explain which data would be sent first and the hospital decides. Which laws apply differs by institution, so we review them together before building.
Does the AI edit our chart or management software directly?
The basic design is read-only. The AI reads, organizes and suggests, and anything written to a record is confirmed by the responsible staff member first.
Can it work with the EMR or chart software we already use?
The possible methods, such as reading the database, exchanging files or screen-level integration, depend on the software and the data access policy of its manufacturer. If integration is difficult, we propose tasks that can start without it. For data in discontinued EMR systems, we offer a separate migration service.
How are scope and cost decided?
Equipment and scope depend on the tasks, number of concurrent users, model size and systems to connect, so we do not give fixed figures here. You can start by validating one task on real data, and we send a quotation by scope after an assessment.
